When water damages a commercial property, managers may need to coordinate the owner, tenants, a restoration provider, and an insurer at the same time. A clear incident record helps keep dates, affected areas, decisions, and expenses organized. It does not determine whether the loss is covered: policy terms and the insurer's review control that decision.
Start a simple incident timeline
Record when the water was discovered, who reported it, what the suspected source is, and when the building team took each action. Note when the source was controlled, which areas were restricted, and when vendors or adjusters were contacted. If the cause is not confirmed, label it as unknown or suspected rather than stating it as fact.
Document the affected property
From safe, authorized locations, list rooms, floors, and shared areas that may be involved. Photograph visible conditions before moving contents when it is safe and permitted. Keep an inventory of affected furniture, equipment, stock, or documents, including ownership and location where known. Avoid capturing sensitive records or personal information unnecessarily.
Keep records of mitigation and decisions
Save work orders, vendor assessments, written scopes, change approvals, monitoring notes, and invoices. Record who authorized work and when. If emergency work is needed to protect people or limit additional damage, follow the property's emergency process and notify the appropriate insurer contact as soon as practical.
Separate documentation from coverage decisions
Policies differ, and exclusions, deductibles, notice requirements, and covered causes can vary. Ask the insurer or licensed representative what records are needed and who may approve repairs. A cleaning or restoration provider can describe its work and provide supporting records but cannot guarantee reimbursement or interpret the policy on the insurer's behalf.
Coordinate the building's stakeholders
In a multi-tenant property, establish who communicates with each occupant and who maintains the master incident file. Keep tenant reports separate from confirmed building findings, and store documents according to company privacy rules.
