Check the tasks listed in the contract: visible debris, bin condition, accessible surfaces, floor presentation, restroom supplies, and any site-specific details. Do not score work that was never included in the scope as a missed task.
Record observations, not impressions
For each finding, capture the date, location, task, what was observed, and the next action. “Restroom counter has residue near the sink” is more actionable than “restroom poor.” Assign an owner and follow-up time that fit the property's process. A small issue log can reveal whether a problem is isolated or recurring without inventing a score or performance benchmark.
Separate cleaning issues from maintenance issues
A stain that remains after the agreed cleaning method may need repair, replacement, or a different surface-care approach. A leaking fixture, broken dispenser, damaged flooring, or pest concern should be routed to the appropriate building contact. The inspection should flag the issue without implying that a cleaning crew can repair it.
Make the review fair and safe
Inspect under comparable conditions when possible, and notify the service lead about repeat findings. Follow building rules for photographs; avoid capturing confidential papers, screens, or personal belongings. When disinfecting tasks are part of the scope, check that products and procedures follow their labels and the property's instructions rather than relying on an unverified claim.
Close the loop
Review open items with the provider, confirm completion, and update the scope if the same expectation is repeatedly misunderstood. A clear scope of work and a consistent walkthrough work together.
